Who we are
Equal Roots is an unincorporated association based in Wales, providing peer support and signposting for parents going through custody and child-arrangement disputes. We’re not a registered charity or a company, and this policy explains how we handle any personal information you share with us through this website.
What information we collect
We don’t currently use online contact forms, newsletter sign-ups, membership registration, or any other means of automatically collecting your personal information through this website. The only personal information we collect is what you choose to send us directly by email — for example, your name, email address, and anything you tell us in your message when you get in touch via contact@equalroots.org.uk.
How we use your information
We use the information you send us only to respond to your enquiry, and, where relevant, to keep a record of our correspondence with you. We don’t use your information for marketing purposes, and we’ll never sell, rent, or share your personal information with third parties for their own marketing.
Where you tell us something in confidence, we’ll treat it as confidential, except where we believe there’s a genuine risk of harm to you, your child, or another person — in which case we may need to signpost you to, or share limited information with, the appropriate emergency or statutory services (such as the police or children’s social services).
Our legal basis for processing
We process the personal information you send us on the basis of our legitimate interest in responding to enquiries from people who contact our organisation, and, where you’ve shared sensitive information about your circumstances, on the basis that you’ve provided it to us voluntarily and with your consent.
Who we share information with
We use Google Workspace to host our email. This means Google processes email correspondence on our behalf as part of providing that service, under Google’s own data processing terms. Our website is hosted by Netlify, who process standard technical information (such as server logs) as part of keeping the website running securely. We don’t share your personal information with any other third party, and we don’t represent you or pass on your details to solicitors, courts, or other organisations without your explicit agreement.
How long we keep your information
We keep email correspondence for as long as is reasonably necessary to deal with your enquiry and any related follow-up, and we delete it once it’s no longer needed, and in any event no longer than is reasonably necessary for our purposes.
Cookies
This website doesn’t set any cookies. It uses no analytics, advertising or tracking cookies, and no sign-in or session cookies.
Your rights
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have the right to:
- ask us what personal information we hold about you, and to receive a copy of it
- ask us to correct any information that’s inaccurate or incomplete
- ask us to delete your information, where there’s no good reason for us to keep it
- ask us to restrict or object to how we use your information
- withdraw any consent you’ve given us, at any time

Children’s information
Our services are aimed at parents and other adults. We don’t knowingly collect personal information directly from children. If you’re a child and believe we hold information about you, please ask a parent, carer, or guardian to contact us.

We may update this policy from time to time, for example as our website or activities develop. The date below shows when it was last updated.
